Qualifications:
Essential:
- Post-secondary education in Business Administration, Office Administration, or a related program. An equivalent combination of education and experience may be considered.
- Experience developing, interpreting and applying policies, procedures, guidelines, rules, terms and/or conditions.
- Experience providing financial administrative support to a department or branch, including preparing estimates and annual report documents, preparing invoices for payment, preparing expense account forms for signature, invoice processing, etc.
- Experience providing senior level administrative support to a branch or department.
- Strong organizational and time management skills to prioritize work to meet strict and often competing deadlines.
- Strong problem-solving, analytical and decision making skills to find solutions through negotiation, consultation and collaboration.
- Ability to work independently with minimal supervision.
- Strong verbal communication skills with the ability to effectively communicate complex information to internal and external clients.
- Strong interpersonal skills to foster and maintain effective working relationships with staff at all levels of government and external stakeholders.
- Strong written communication skills with experience drafting and editing correspondence.
- Experience working with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint).
- Experience in handling highly sensitive material and information in a confidential and professional manner.
- Experience using Systems, Applications, and Products (SAP) software, including financial activities and timekeeping.
Duties:
Reporting to the Director of Financial and Administrative Services, the Administrative Officer is responsible for providing administrative and clerical support to the Director of Financial and Administrative Service and the Assistant Deputy Minister/Executive Financial Officer. The responsibilities of the position involve overseeing and implementing administrative procedures, establishing work priorities, conducting analyses of administrative operations, and coordinating acquisition of administrative services, such as office space, supplies and security services.
The Administrative Officer will serve as the key link in administrative matters between the Directors and other division/branch within the departments. The position requires initiative and problem solving skills to manage competing demands where confidentiality, diplomacy, tact and political acumen are essential.
