Job Description and Responsibilities

Hobbs and Associates are seeking an Executive Assistant for a one (1) year, part-time contract to assist with office management and day-to-day activities. The contract will require 20-25 hours of availability a week. Most of the time will be spent in-office (9:00 am to 1:00 pm, Monday to Friday), although some flexibility is required to complete tasks while out of the office. This role is crucial to ensuring smooth operations and providing high-level administrative support to our executive team and our consultants.

Responsibilities will include:

  • Managing visitor reception and handling incoming communications, including phone calls, with professionalism and courtesy
  • Scheduling and booking consultant and client meetings in Outlook Calendar and MS Teams 
  • Scheduling and booking consultant and client travel
  • Maintaining a company meeting schedule
  • Online ordering of office materials and related purchases
  • Shipping and receiving
  • Finalizing formal communications such as letters and reports
  • Digital filing
  • Printing finalized documents, including reports
  • Related tasks.

Please note that Hobbs and Associates are in Winnipeg, Manitoba, and will require the successful applicant to work in our offices in the exchange district and provide their own travel to and from work.

Remuneration and Employment Term

Remuneration will be $25.00 per hour. The successful applicant will be hired on a contracted basis with a three (3) month probationary period. The contract is expected to last one (1) year.

Education and Qualifications

  • High-school diploma required
  • Post-secondary education encouraged
  • Post-secondary training and certification encouraged

Skills

  • Proven experience as an Executive Assistant or in a similar administrative role is preferred
  • Displayed ability to work in the Microsoft Office suite of programs (Word, Excel, PowerPoint, Outlook, etc.) and Adobe Acrobat
  • Includes editing, formatting, and general competence in document management
  • Includes the use of a SharePoint system for document management
  • Solid interpersonal and communication skills – comfortable interacting with our consulting team, employees of hotels, airlines, and other businesses, as well as our First Nation clients
  • Strong attention to detail and the ability to manage and prioritize tasks efficiently
