BACKGROUND:
SCO is a growing and dynamic regional First Nation organization that represents 33 Anishinaabe and Dakota Nations and more than 88,000 citizens in what is now southern Manitoba. Established in 1999 by the Chiefs, SCO is mandated as an independent organization to protect, preserve, promote, and enhance First Nation peoples’ inherent rights, languages, customs, and traditions through the application and implementation of the spirit and intent of the Treaty-making process.

OVERVIEW:
Supporting the Health Transformation Team and reporting to the Vice President of Health Services & Programs, the Administrative & Policy Support role will assist with administrative duties, research, and other policy related tasks to ensure efficiency in day-to-day operations. This position requires the incumbent to be proactive, organized, and timely manage a wide variety of responsibilities while efficiently maintaining attention to detail.
KEY RESPONSIBILITIES:
- Assists the Health Transformation Team (HT) in the development, research, and review of policies, processes, and funding opportunities.
- Supports the monitoring of media, government announcements, and specific government initiatives and legislation.
- Assists in the coordination, scheduling, and communications for internal and external meetings and working groups. This can include managing various staff schedules to booking venues.
- Coordinate and organize travel arrangements for HT staff and other SCO working groups, advisory groups, and leadership (i.e. Chiefs).
- Support the planning and execution of HT events as needed.
- Travel to various events hosted by SCO Nations as required and directed by the senior leadership team.
- Assists in the preparation of written correspondence and documents (i.e. advocacy letters, briefing notes, research reports, annual reports) and ensuring adherence to SCO formatting, communication, and language standards.
- Gather research to support the development of both organizational and health services to inform research proposals, policies, and processes.
- Helps to prepare program reporting documents (narrative and financial) as directed by the senior leadership team.
- Assists with the development, coordination, and evaluation of special projects as determined by senior leadership.
- Provides backup support to all HT staff as directed.
- Records, transcribes, and documents meeting minutes in a timely manner.
- Assists with identifying priority areas and assignments.
- Codes and distributes files (electronically) and organizes into central filing systems.
- Manages purchase orders, inventory, and travel arrangements for staff and committees/working groups.
- Create and ensure accuracy of expense claims and promotes timely reimbursement.
- Coordinates relevant department calendars, meetings, agendas, and logistical support.
- Other duties as assigned.
EDUCATION AND QUALIFICATIONS:
- A 1-year Certificate or 2-year Diploma in Business Administration or a related field would be considered an asset.
- Experience in managing expenses including generating expense claims, seeking approvals, and processing reimbursements is strongly preferred.
- Experience providing administrative support in a busy, fast paced environment.
- Experience setting up and maintaining files, filing system and document tracking systems.
- Strong written communication skills to draft, review, and edit correspondence, letters, memos, and reports.

- Strong interpersonal skills with the ability to work effectively with others.
- Ability to maintain relationships with internal and external stakeholders.

- Experience conducting research and analysis for policy, and implementation.
- Excellent analytical, problem solving and decision-making skills.
- Demonstrated experience in using Microsoft applications (Word, Excel, PowerPoint, etc.)
OTHER REQUIREMENTS:
- Must provide a current and satisfactory Criminal Record Check with Vulnerable Sector Search
- A valid class 5 MB driver’s license with access to a reliable vehicle for business travel
