IT Procurement Specialist

Purpose
The IT Procurement Specialist position is responsible for sourcing all IT goods and services for MFNERC and partner organizations at the best value, considering quality and price. The incumbent should possess strong industry knowledge, good negotiation skills and rapport-building and be prepared to lead the ordering, shipping, and receiving processes while maintaining an IT asset management system.
Specific Responsibilities
- Manage the procurement of all IT products and services related to technology for the organization and approved partners, including;
- Undertake product research, including potential suppliers and competitive products
- Identify suppliers of goods and services
- Negotiate terms with suppliers such as price, quality of goods, deadlines, expectations, etc.
- Liaise with suppliers and vendors regarding updates and details of goods and maintain vendor relationships
- Initiate Requests for Purchase (POs and credit) and other procurement documents (RFPs, Contracts, renewals, etc.)
- Manage and maintain contracts with vendors
- Ensure compliance with related laws and regulations
- Develop, maintain, and enforce shipping and receiving IT orders
- Analyze invoices to ensure the accuracy of goods delivered
- Develop, maintain, and enforce an IT asset management process
- Monitor inventory to ensure the flow of goods remains positive
- Engage with other department leads, managers, or directors to assist with IT purchasing needs and provide updates on the status of orders
- Attend meetings to ensure any contractual obligations are favourable to the company
- Work closely with the team to understand the details of procurement requirements
- Identify, head, and oversee complex sourcing IT projects consisting of software, hardware, maintenance, replenishment, etc.
- Create and maintain budgets for IT projects related to purchasing
- Assist the IT Manager in planning the purchasing budget
- Develop and maintain IT procurement business goals and objectives
- Develop IT sourcing strategies
- Work on the tendering process for obtaining goods or services
- Travel to communities to assist schools with IT purchasing, where required
- Other duties as assigned
Qualifications – Education & Experience
- Graduated from a recognized post-secondary institution with a relevant degree or certificate in business, accounting, or technology;
- Minimum five (5) years of related and relevant work experience;
- Strong understanding of business processes;
- Strong numeracy and financial skills;
- Working knowledge of Microsoft Office and Microsoft 365;
- Experience with RFP processes would be an asset;
- Virtual Certified Professional (VCP) designation would be a benefit;
- Ability to investigate, analyze, assess, and solve issues;
- Great negotiator with interpersonal and communication;
- Strong time management and organizational skills and the ability to adapt and work under pressure;
- Ability to handle and prioritize multiple tasks and meet all deadlines;
- Professional behaviours that personify a strong work ethic;
- Ability to work independently and cooperatively in an interdisciplinary team of professionals;
- Ability to speak a First Nations Language would be an asset;
- Excellent interpersonal and cross-cultural skills to work in a First Nations environment;
- Ability to travel to First Nation communities within Manitoba.
