Circling Buffalo Inc. is seeking a dedicated Administrative Assistant with a strong focus on communications to support our mission to empower the 63 First Nations. This role demands a proactive individual who excels in multitasking and possesses exceptional communication skills. The ideal candidate will be deeply committed to our ethos of supporting and empowering women and will play a crucial role in facilitating our day-to-day operations, coordinating with shelters, and enhancing our outreach efforts with the 63 First Nations and On – Reserve shelters.

This role requires a proactive and organized individual who can effectively handle a variety of tasks while maintaining a high level of cultural sensitivity and commitment to the mission of supporting women's shelters and the 63 First Nations. The Administrative Assistant will play a pivotal role in facilitating communication, coordinating events and meetings, supporting shelters, managing reports and documentation, expanding our network, and maintaining our social media and public relations efforts. A successful candidate will be adept at multitasking, possess excellent communication skills, and have a deep respect for cultural diversity, aligning with Circling Buffalo Inc.'s values and goals. 

Administrative Assistant Job Responsibilities: 

General Administration:

·         Task Management: Efficiently handle daily administrative tasks including managing schedules, appointments, and deadlines.
·         Record Keeping: Maintain and update records and databases with personnel, financial, and other data.
·         Office Management: Ensure the smooth operation of office equipment and order office supplies as needed.
·         Documentation: Prepare and modify documents including correspondence, reports, drafts, and emails.
·         Team Support: Provide general support to visitors and assist team members with administrative tasks.
·         Process Improvement: Continuously identify and implement improvements to enhance office efficiency.

Communication Coordination: 

·         Point of Contact: Serve as the primary point of contact for internal and external communications.
·         Email Management: Manage and organize email correspondence, ensuring timely responses.
·         Telephone Etiquette: Handle incoming calls and redirect them or take messages as required.
·         Information Dissemination: Effectively communicate relevant information to staff and associated shelters.
·         Feedback Handling: Address queries and feedback from staff and external stakeholders.

Event and Meeting Coordination: 

·         Meeting Scheduling: Organize and schedule meetings, including coordinating dates, times, and locations.
·         Agenda Preparation: Prepare meeting agendas and provide necessary documentation to attendees.
·         Event Logistics: Oversee the logistics of events and workshops, including venue, equipment, and catering arrangements.
·         Participant Coordination: Coordinate with participants and manage RSVPs for events.
·         Minute Taking: Take and distribute minutes of meetings.
·         Post-Event Follow-up: Conduct follow-ups post-events to gather feedback and suggestions for improvement.

Networking and Outreach: 

·         Relationship Building: Build and maintain relationships with partners, stakeholders, and community members.
·         Outreach Initiatives: Participate in outreach initiatives to promote the organization’s work.
·         Collaboration Facilitation: Facilitate collaborations with external organizations and entities.
·         Information Sharing: Share relevant information and updates with network contacts.
·         Event Participation: Represent the organization at external events and meetings.
·         Feedback Collection: Gather and relay community feedback to inform organizational strategies.

Social Media and Public Relations: 

·         Social Media Management: Manage and update the organization’s social media platforms.
·         Content Creation: Create engaging and informative content for social media and websites.
·         Brand Representation: Ensure consistent and positive representation of the brand.

Adherence to Cultural Sensitivity: 

·         Cultural Awareness: Demonstrate a deep understanding and respect for cultural diversity in all interactions.
·         Inclusive Communication: Ensure all communication is inclusive and culturally sensitive.
·         Training Participation: Participate in cultural sensitivity training and encourage team members to do the same.
·         Policy Advocacy: Advocate for policies that respect and reflect cultural diversity.
·         Community Engagement: Engage with diverse community groups to understand their perspectives and needs.
·         Feedback Integration: Integrate feedback from culturally diverse groups to improve services and outreach. 

Wages:

Year-to-year (as funded). Enumerated depending on qualifications and experience. Wages range from $45,000-$50,000 annually.
