POSITION: Administrative Assistant

LOCATION: Roseau River First Nation (Ginew, Manitoba)

REPORTS TO: Team Lead
WORK HOURS: Monday to Friday, 8:30 am to 4:30 pm (some after hours will be required)
FTE: 70 Hours Bi-weekly (Full Time)
Position Summary
The Administrative Assistant is responsible for providing administrative and clerical support to the Ginew Wellness Center Cultural Program and Mental Wellness teams. The position supports daily operations and service delivery while ensuring the goals and objectives outlined in the Community Health Plan, Language Revitalization Project, other program specific plans, and Accreditation are achieved. This position requires a high degree of confidentiality and professional conduct. Success in this role requires excellent time management and organizational skills, attention to detail and a high level of accuracy.
Major Duties & Responsibilities
- Administrative and program support: Prepare and edit documents, reports, presentations, budgets and spreadsheets. Assist with program, project and contract administration, including data entry, and work with the Team Lead and team members to carry out program plans.
- Scheduling and meeting coordination: Maintain the Team Lead’s and team’s calendars. Coordinate meetings, events and logistics; prepare and distribute agendas and meeting packages; and take and transcribe dictation notes and meeting minutes.
- Communications and inquiries: Review and distribute incoming correspondence, respond to inquiries as directed, and coordinate internal and external communications. Develop and distribute posters, advertisements, event schedules and training information in accordance with GWC practices.
- Records and resources: Maintain program files and the central filing system, digitize documents for the shared drive, and keep service provider and venue lists and central resource library current.
- Financial and travel administration: Assist with program financial transactions and processes, including Traditional Healing Program claims. Arrange travel for staff, contractors and service providers; track expenses; and prepare reimbursement claims.
- Program delivery and relationships: Support activities such as transportation and food delivery. Build collaborative relationships with GWC staff, Bagiwaaniskzibi (Roseau River Anishinaabe First Nation), community members, external organizations and service providers, and assist visitors and callers.
- Office and equipment coordination: Maintain orderly workspaces and offices, monitor and order inventory.
- Accreditation and professional development: Support GWC in maintaining accreditation and participate in relevant workshops, training sessions and events. Perform other duties as assigned.
Qualifications & Core Competencies
. Grade 12 or a combination of several years of office related experience.

· Strong administrative skills and an excellent understanding of clerical and office procedures.
· Strong computer skills, including excellent working knowledge of MS Word, MS Excel and QuickBooks; general understanding of computerized filing and data management systems (training provided).
· Excellent verbal and written communication, interpersonal and service skills, with the ability to work effectively as part of a team.
· Strong planning, organizational, time management and prioritization skills, with the ability to complete overlapping projects.
· Accuracy and attention to detail under tight deadlines.
· Accountability, sound decision making, and strong problem identification and resolution skills.
